External Guest Presenters in Teams Live Events

Purpose

The article will explain whether an external user can become a presenter in a Teams Live Event.

Explanation 

For an external user to be a presenter in a Teams Live Event, they need to either be a Guest in a UTD team or have been a Guest in a team. When scheduling the Live Event:

  • If the user has not been in a UTD team:
    • You can invite them by using their full email, but it will not allow them to be a presenter when they join.

  • If the user has been in a UTD team:
    •  You can invite them by using their full email address and join as a presenter.

Troubleshooting Steps

Presenter Joins as Attendee 

Sometimes, when guest (external) presenters attempt to join the live event, they are instead shown the attendee view. You can follow either of these steps listed below as a work around for this issue:

  • Have someone from UTD who is a Producer or Presenter send something in the meeting chat.
    • It will show the meeting in the Teams' chat area, displaying a purple Join button in the upper-right corner.
    • Have the guest (external) user use this join button to join the live event as a presenter.

  • Have someone from UTD who is also a producer or presenter use the Ask to join feature for the guest (external) user.
    • This will prompt them to join the live event and join as a presenter.
