Table of Contents
- Students enrolled for at least one credit hour (considered an "Active Student") in the current semester, and a grace period into the next semester.
- Accounts entered in the HR System as "Active Employees" (including Student Employees, Faculty, and Staff).
- Other accounts may have this service level, if requested through a Computer Access- IT Resource Request.
- Faculty members who leave the University maintain Standard service for a year after leaving their position.
A user with the Standard service level will have access to the following resources:
- UTD Web Applications (e.g.: Galaxy, eLearning)
- UTD Email (This is conditional for Guest and Contractors based on IT Resource Request.)
- UTD Computing Resources (UTD Computers, File Shares, etc.)
- UTD Network Access (CometNet, VPN)
- File Sharing Applications (OneDrive, Box)
- M365 Applications
- A sponsor can request basic service level access through a Computer Access- IT Resource Request instead of the full Standard services.
- Students who are not currently enrolled but can enroll this semester without being readmitted (considered a "Prospective Student") retain Basic service level. Students will be notified 35 days before this change goes into effect.
- University retirees have a Basic service level account for life. This includes access to Exchange online, but no Teams or M365 web application access.
A user with the Basic service level will have access to the following resources:
- Limited UTD Web Applications (e.g.:, Galaxy, eLearning)
- UTD Email (Accessed by exchange online- This is conditional for Guest and Contractors based on IT Resource Request.)
- UTD Network Access (CometNet, VPN*)
- File Sharing Applications (OneDrive, Box)
- A sponsor can request Webapps Only service level access through a Computer Access- IT Resource Request instead of the full Standard services.
- Accounts applying for admission to UTD.
- It can also be assigned to employees who have left the university.
This service level has no information regarding an email inbox or home directory. With Webapps Only service, the account has access to the following resources:
- UTD Web applications using NetID account
Note: Accounts will not be downgraded to a lower level through an
IT Resource Request if inactive feed gives them higher access.
- Student accounts become dormant when they are identified as an "Inactive Student", after being away from the University for two long semesters (approximately one year). Students will be notified 35 days before this change goes into effect. If a student withdraws from the University (even non-academic withdrawals), their service level is immediately downgraded to Dormant.
- Staff accounts become dormant automatically immediately upon leaving or after three years, if HR requires them to maintain web access.
- Faculty accounts become dormant after 90 days of Basic access or after three years, if HR requires them to maintain web access.
The accounts email inbox and home directory remain intact at this level, but the individual is denied all access. The LDAP and AD records are still in the directory but blocked or disabled. This service level only remains for 35 days.
After 35 days at the Dormant service level, accounts are aged to the Removed service level. The LDAP and AD records are deleted, and information about the email inbox and home directory is lost.
NetID access changes are automatic based on affiliations. If you believe there is an error with your access, please contact the OIT Service Desk.
An aging date is given if requested on the IT Resource Request- not all accounts have an aging date. On this date, the service level is recalculated according to the following rules. The most generous service level is given if an account fits multiple categories.

The aging date for students is automatically moved forward when the student is enrolled for the current semester. Admitted students undergo a semester changeover that allows time to enroll for the next semester. A batch program runs daily to age accounts that expire that day.
Note: Students who have email and at the end of their 1 year will have 30 days to save copy of their email and one drive data. They will be notified at their NetID email and personal email.
The sponsor must periodically reset the aging date for a sponsored account to continue as a sponsored account. If a sponsor fails to renew the account and the user is still in the system as a paid Staff or Faculty member, the user will continue to have a Standard service level courtesy account.
