NetID Account Access

Table of Context

Students

Students will receive an email from NetIDServices@utdallas.edu with the subject "Important Information: Activate your UT Dallas Account".

  • This email will be delivered to the personal email address indicated on the application UTD.
  • This email is delivered within 3-5 business days of the application being processed by UT Dallas.

Applicant

Applicants are granted limited access to UTD resources so that they may complete their application process and submit any necessary documentation to be considered for admission. Resources UTD Applicants have access to include, but are not limited to:

  • UTD Web Apps

If not selected for admission, applicant accounts will be automatically deactivated.

Admitted

Admitted students are granted access to most UTD resources. An admitted student is any student that has been admitted, but not currently enrolled in courses. Resources Admitted Students have access to include, but are not limited to:

  • UTD Web Apps
  • UTD M365 Services
  • UTD Email
  • UTD Network (CometNet)

Enrolled

Enrolled students are granted access to all UTD resources available to students. These are students that are actively enrolled in courses for the current semester. Resources Enrolled Students have access to include, but are not limited to:

  • UTD Web Apps
  • UTD M365 Services
  • UTD Email
  • UTD Network (CometNet and VPN)
  • UTD Computing Resources (UTD Computers, File Shares, etc.)

Withdrawn

Students that withdraw from UTD have their accounts disabled immediately. Withdrawn students will not have access to any UTD technology resources, including UTD email and Galaxy. Academic Records and transcripts may be requested via the Former Student Reactivation process.

Graduated

Graduated students (alumni) will retain some access for approximately two long semesters (spring, fall) after graduation. This period of access is intended for students to migrate accounts and services that may be using their UTD email or other UTD resources to new, personally owned accounts. After this time period, the student’s UTD email, home directory, and login credentials will be deleted. There are no access extensions. Graduated students retain access to the following services:

  • UTD Web Apps
  • UTD M365 Services
  • UTD Email
  • UTD Network (CometNet)

OPT/STEM-OPT

Students on an F1 visa who have registered and been accepted into the OPT (Optional Practical Training) program will retain access to their UTD email and Galaxy until the end of the OPT period. OPT membership is managed by ISSO. All questions regarding OPT membership should be directed to ISSO.

Reactivated Accounts

Reactivated accounts are accounts in which a student has completed the Former Student Reactivation process in order to obtain academic records, such as official transcripts. Reactivated accounts will ONLY have access to UTD Galaxy.

Staff

Active Staff

Active staff are granted access to all IT resources available to staff. These include, but are not limited to:

  • UTD Web Apps
  • UTD M365 Services
  • UTD Email
  • UTD Network (CometNet and VPN)
  • UTD Computing Resources (UTD Computers, File Shares, etc.)

Former Staff

Former staff accounts are typically disabled on the staff member’s last day of work. If deemed necessary by HR, staff members may retain access to Galaxy for up to three years to view pay stubs and W2s.

Faculty

Active Faculty

Active faculty are granted access to all IT resources available to staff. These include, but are not limited to:

  • UTD Web Apps
  • UTD M365 Services
  • UTD Email
  • UTD Network (CometNet and VPN)
  • UTD Computing Resources (UTD Computers, File Shares, etc.)

Former Faculty

Former faculty members retain access to most UTD technology resources for approximately 35 days after their last official working day. This is intended to be a transition period, allowing former faculty members to export any personal data they need to, and communicate with other University faculty and staff to aid in transition. After the transition period, faculty accounts may be deactivated, or restricted to Galaxy access only. Galaxy access may be preserved if the former faculty member needs to access pay stubs or W2s. Faculty members retain access to the following resources during the transition period:

  • UTD Web Apps
  • UTD M365 Services
  • UTD Email
  • UTD Network (CometNet and VPN)

Retiree

Retired

Retirees retain indefinite access to UTD email and some Web Applications. The Office of Human Resources makes all decisions regarding continued access for faculty retirees. Additional information for retirees can be found on the HR website.

Emeritus

Emeritus users retain standard access to IT resources available to staff. Departments are responsible for updating Emeritus' job status. Additional information for Emeritus can be found here

Guest

Guest users come in all forms. Some are contractors, some are visiting lecturers, some are industry representatives, etc. Guest users may be given all different types of access, ranging from full Standard Service Level, all the way down to just Webapps access. All guest account creation and access is requested via eCAT.

Requesting Access Changes

All non-automated changes to account access must be requested via the eCAT (electronic Campus Access Tool) site. These changes may include access to various shared drives, security groups, shared mailboxes, physical doors/rooms, etc.

Common UTD Web Apps

UTD Web Applications are any web-based services that rely on UTD Single-Sign On and a NetID user account for authentication. Examples of UTD Web Apps include, but are not limited to:

  • UTD Galaxy (Orion & Gemini)
  • eLearning
  • iComet
  • Atlas
  • Box
  • StarRez (Housing Portal)
  • Roompact (Housing)
  • Handshake
  • KnowBe4

Access to some web apps may be restricted depending on the affiliation and role of an individual at UTD.
