What are Group Assistants? 

Group Assistants allow teams, classes, departments, and organizations to create and manage AI assistants in a shared workspace. Group members can collaborate on assistants, control access, and review assistant usage through a centralized management interface. Group Assistants provide a shared environment where multiple users can collaborate on AI assistants. 
 
With Group Assistants, you can: 
 
  • Create shared AI assistants 
  • Organize assistants within a group 
  • Manage member permissions 
  • Support different user categories through Group Types 
  • Track assistant usage and engagement 
  • View conversation history and feedback

Access Group Assistants 

  • Open CometAI
  • Navigate to the Assistant Gallery on "Assistants" tab. 
  • Select Group Assistants from the menu. 
Note: Access to Group Assistants may require additional permission.

Full administrative control 

Group Types 

Group Types allow you to customize assistant experiences for different audiences. 
 
Examples include: 
  • Students 
  • Faculty 
  • Researchers 
  • Staff 

When Group Types are configured: 

  • Users select their group before chatting. 
  • Different instructions or data sources can be applied to each group. 
  • Specific groups can have restricted chat access if needed. 

Create a Group 

  • Open the Assistant Group Interface Console under the PaintBrush Icon. 
  • Select the Group drop-down menu
  • Click Create New Group
  • Enter the group details
  • Add members and assign permissions
  • Configure any Group Types if needed. 
  • Save the group.

Manage Members 

Within the Group Management Console, you can: 

  • Add users 
  • Remove users 
  • Change permission levels 
  • Search for members 
  • View assigned Access Level 

To modify a member: 

  • Open your group
  • Locate the member in the member list. 
  • Select Update Users Access
  • Select the desired permission level (READ, WRITE, ADMIN). 
  • Save changes.

Create Assistants in a Group 

  • Open your Group Assistant workspace. 
  • Create a new assistant in your group by clicking on  + Assistant.
  • Enter the following:  
    • a. Assistant Name 
    • b. Description 
    • c. Instructions 
  • Upload supporting documents if needed. 
  • Enable “Enforce Model” to enforce a specific model to all the users who use the assistant (recommended) to ensure all users get same/similar responses from the assistant. 
    • However if a model retires in future then this setting needs to be updated or else the assistant would get an error. 
  • Enable “Track Conversations” (recommended) to enable the dashboard for tracking user conversations and other metrics.
  • Enable “Analyze Conversations” (recommended) to analyze user feedbacks to the assistant 
  • Save the assistant. 
    • After saving, the assistant becomes available within the group.

Chat with Group Assistants 

After a group assistant is created: 

  • Open the Assistants tab. 
  • Locate your group
  • Select the assistant
  • Begin chatting. 

Group assistants also appear in the Prompts area for authorized users.

View Assistant Analytics 

Group administrators can view assistant performance through the Dashboard. 

Available metrics may include: 

  • Unique Users 
  • Total Conversations 
  • Average Prompts per Conversation 
  • User Ratings 
  • Satisfaction Scores 

To access the Dashboard: 

  • Open Assistant Gallery. 
  • Select your group
  • Open the assistant dashboard
Note: Analytics may take several minutes to appear after new conversations occur.

View Conversation History 

Admins can review conversations associated with group assistants. 

  • Open Settings
  • Select Assistant Group Interface
  • Choose your group. 
  • Open the Conversations tab. 
  • Select a conversation to review details and feedback.

Delete an Assistant in a Group 

  • Open the Assistant Group Management Console
  • Open that Particular Group Management Console
  • Select the assistant which you want to delete from the assistant list and click on Delete Assistant. 
  • Confirm the deletion. 
Important: Deleting an assistant cannot be undone.

Delete a Group 

  • Open the Assistant Group Management Console by going to Settings > Assistant Group Interface.

  • Select your group from the dropdown menu e.g. Test-group and go to Group Management Tab.

  •        3. In the Group Management Tab, scroll down and click Delete Group at the bottom to delete the group.

Troubleshooting 

  • I cannot access Group Assistants. 
  • My dashboard shows no analytics. 
    • Analytics only begin collecting after tracking is enabled. New conversations may take several minutes to appear. 
  • I cannot view conversation history. 
    • Only Group Administrators can access conversation records.
