Introduction

The Inventory Management Application is an iOS and Android app designed to facilitate asset audits in both online and offline environments. This guide provides step-by-step instructions for using the app's core features including login, audit processes, and offline functionality.

Logging In

SSO Login

  1. Launch the application.
  2. Enter your NetID and Password
  3. Tap Login to authenticate via SSO (Single-Sign-On)

Setting MPIN for Offline Access

First-time Login

  1. After your first successful login, you’ll be prompted to set a 4-digit MPIN.
  2. The MPIN is required for accessing the app in offline audit mode.

Important: You must log in at least once while online to activate offline mode later.

Performing and Audit in Online-Mode

Starting a Regular Audit

  1. Tap Audit on the dashboard.
  2. Select the audit location by choosing:
    1. Building
    2. Floor
    3. Room

Scanning or Entering a Barcode

  1. Use your device’s camera to scan the barcode, or
  2. Manually enter the barcode of the asset.

Viewing and Completing an Audit

  1. After scanning, the Asset Details screen will appear.
  2. Tap Update Location to mark the audit as complete.
  3. You will be redirected to the dashboard.

Quick Audit (Online Mode)

Accessing Quick Audit

  1. After performing a regular audit, a Quick Audit option becomes available on the dashboard.
  2. The last used location is auto-selected.

Performing Quick Audit

  1. Only barcode scanning is allowed (no manual entry).
  2. After each scan, the asset details will be displayed for 5 seconds (default setting).
  3. Audit is submitted.
  4. Then, the scanner automatically reopens for the next item.

Configuring Quick Audit Display Time

  1. Navigate to Profile > Settings.
  2. Adjust the display duration (in seconds) for asset details in Quick Audit.

Offline Audit

Offline audit mode allows you to continue auditing when there is no internet connectivity. There are two ways to access this functionality.

Method 1: Offline Audit During App Launch (No Internet)

If you launch the app without an internet connection:

  1. A screen will appear with options:
    1. Retry Connection
    2. Continue with Offline Audit
  2. Tap Continue with Offline Audit and validate user with MPIN.
  3. You can:
    1. Add Quick Audits
    2. View any previously saved offline data
You must have previously logged in online and set up an MPIN to use this option.

Method 2: Offline Audit via Profile Selection

This option allows you to pre-load audits and sync offline data.

  1. Open the app with an internet connection.
  2. Go to Profile > Offline Audit.
  3. From here, you can:
    1. Add audits (even while offline)
    2. Sync saved audits (once online again)
This method offers flexibility to prepare for audits in advance and sync later at your convenience.

Syncing Offline Audits

  1. Once online, go to Profile > Offline Audit.
  2. Tap Sync Audits to upload the data to the server.
  3. Synced audits will be marked as Completed.

Logging Out

To ensure security and data integrity, especially when multiple users share the same device, it's important to log out after completing your audit session.

How to Logout

  1. From the Home/Dashboard screen, tap the Logout icon located at the top-right corner of the screen.
  2. You will be logged out of the application.
  3. To access the app again, the user must log in using SSO credentials (NetID and Password).

Important: Logging out is strongly recommended after each audit session,
especially if:
  • You are using a shared device
  • You're handing over the device to another auditor

What Happens After Log Out

  1. The application clears all session data.
  2. MPIN setup remains valid (for offline audit).
  3. The next user must enter their own NetID and Password to begin a new session.
