How do I get to Claude on my different devices?

Note: Conversations sync across every platform, so a chat you begin on one device can be picked up on another. The mobile apps also add extras such as photo analysis and voice dictation. (Use Claude for Education at your university | Claude Help Center)

Who at UT Dallas is eligible to use Claude for Education?

  • Both the Standard and Premium tiers are available for purchase to UT Dallas faculty and staff.

How do the Standard and Premium tiers offered by UT Dallas differ?

  • The models and features are identical in both tiers; what Premium adds is a larger usage allowance.
  • Anthropic doesn't publish exact rate limits, as they can vary throughout the day based on overall usage. 
    • Standard Seat = 2.5 times higher usage vs consumer pro seat 
    • Premium Seat = 5 times higher usage vs standard seat

I’m having trouble with my existing personal or business account. Can UT Dallas help me with it?

  • The university has neither access to nor control over your personal account, so any trouble with it will have to be worked out directly with the vendor.

Can my personal or Teams subscription be linked to the new UT Dallas offering without migrating?

  • No. A subscription of any kind that was set up outside the UT Dallas service cannot be folded into the university account.
  • To keep using your content, you will have to bring it over to the new UT Dallas service yourself.
  • From this point on, a personal account can no longer be attached to a @utdallas.edu email address.
  • If you hold one today, your options are to shift that data to a different account or carry it over to the UT Dallas provided account.
  • Take no action, and access to the old account ends on September 30th, 2026.

Should I close or delete my personal Anthropic account before I sign up for a UT Dallas provided account?

  • No — please leave your personal account in place. Anthropic enforces a mandatory 30-day cooling-off period on email addresses.
  • Deleting a personal account built on your @utdallas.edu address and then registering for a UT Dallas provided account will most likely lock you out of every Anthropic service for the next 30 days.

Can our Teams/Enterprise admin be granted administrator access to the UT Dallas service?

  • No. Administrator rights cannot be extended to outside groups, even where those groups already maintain accounts beyond the UT Dallas provided service.

I have a personal or business account. Am I required to move to a UT Dallas account?

  • No. From this point on, though, a personal account can no longer be attached to a @utdallas.edu email address.
  • If you hold a personal account under a @utdallas.edu email address today, your options are to shift that data to a different account or carry it over to the UT Dallas provided account. Should you take no action, access to the old account ends after September 30th, 2026.
  • Keep in mind that UT Dallas data may be used only when it is accessed through the UT Dallas-provided account.

Can I set up a personal account using a UT Dallas.edu email address?

  • No. Anthropic will not permit new accounts to be created under the @utdallas.edu domain.

How do I migrate my personal Claude account to a non-UT Dallas.edu email address?

  • Moving an existing Anthropic account over to a personal email address is something you would need to arrange with Anthropic support. University IT cannot assist with it.

How do I migrate my personal Claude account to the new UT Dallas offering?

  • Anthropic unfortunately offers no automated way to transfer data from a personal account into a highly secure, HIPAA-ready environment.
  • Export or save anything you want to keep from your personal account, access to it ends after September 30th, 2026.

Will Claude Code on mobile be available in UT Dallas's Claude for Education offering?

  • Beta offerings such as Claude Code for mobile fall outside the UT Dallas agreement for now.
  • Once Anthropic moves the product to general release, it will most likely be folded into the UT Dallas plan.

Will Claude models like Mythos and Fable be available in UT Dallas's Claude for Education offering?

  • Claude Fable 5 has been redeployed by Anthropic, but it remains turned off in the UT Dallas enterprise environment because it does not yet line up with the university’s obligations for data governance, research protection, and institutional risk management.
  • Please submit a service request if you have any questions.

Will Claude Design, Claude Science, Claude Code Remote Control, etc. be available in UT Dallas's Claude for Education offering?

  • Beta offerings such as Claude Design, Claude Science, Claude Code Remote Control, and Claude Code Web fall outside the UT Dallas agreement for now.
  • Once Anthropic fully releases a given product, it will most likely be folded into the UT Dallas plan.

Who owns and administers the data in a Claude for Education account?

  • As the designated Primary Owner, UT Dallas administers your Claude for Education account along with every piece of data tied to it. (Who owns and manages the data of my Claude for Education account? | Anthropic Privacy Center)
  • The university handles it the same way it handles any other OIT maintained system.
  • Much like Google Drive or Microsoft 365 email, we are able to pull data when public safety or litigation requires it.
  • Short of that, what you enter into the tool is not reviewed by the university.

Will my inputs be used by Anthropic to train their models?

  • No. The service agreements UT Dallas negotiated are designed to protect university data: Anthropic will not use inputs or outputs from UT Dallas-provided accounts to train the models behind any of its products.

How long is my data kept by Anthropic?

Where can I learn more about working with Claude?

Can Claude for Education be used with HIPAA or PHI data?

No. The current Claude for Education environment is not approved for PHI or HIPAA-regulated data. Departments that need to collaborate with patient health information must coordinate with OIT on a separate healthcare-focused deployment via General Help/ Request.

Can Claude for Education be used with FERPA-protected data?

Yes.

Are students, graduate students, or student employees like graduate students & research assistants be eligible for Claude for Education?

Not during the initial rollout. Phase 1 licensing is limited to faculty and staff. Students, graduate students, and student employees are not included in the initial rollout, though future phases may consider broader eligibility. Departments that want to provide AI access to student employees are encouraged to use CometAI instead. If you would like to provide your student employees with secure access to Claude and more than 20 additional AI models, we recommend requesting CometAI access instead. CometAI offers a secure AI experimentation environment with access to multiple models, custom assistants, agents, APIs, web search capabilities, and other advanced features. What happens to students who currently use Claude with their UTD email address?

Students affected by the SSO transition will receive direct communication from OIT explaining available options and migration steps.

Can Claude licenses be reassigned to another person?

No. Claude licenses are tied to a single individual and cannot be reassigned to another user.

What happens if an employee leaves UTD?

When an employee leaves UTD, their Claude access will be removed during offboarding. The license cannot be transferred, the license cost is not reimbursed, and a new employee would require a separate license purchase.

Will departments receive a refund for unused Claude licenses?

No. Departments will not receive reimbursements or prorated refunds for unused seats.

How does Claude’s rolling usage window work?

Claude uses a rolling five-hour usage window. The five-hour period begins when the user submits their first prompt. Usage capacity becomes available again as prompts move outside that rolling five-hour window. It does not reset at midnight and does not use a traditional daily quota model.

Billing

How is billing structured under the new Claude for Education plan?

  • Two tiers are offered:
    • Claude for Education - Standard Seat: $216 per user, per year.
    • Claude for Education - Premium Seat: $600 per user, per year.
Billing Note: OIT does not prorate license fees. Requests submitted during the year are charged at the full annual license rate. Licenses will be billed to the department up front before provisioning.

Can I pay monthly rather than for the full contract term?

  • No, Claude for Education licenses are only available at an annual rate.
  • There is no monthly billing option, and a license cannot be cancelled once it has been purchased.

What rate limits and thresholds apply to Claude’s Standard and Premium tiers?

  • Anthropic doesn't publish exact rate limits, as they can vary throughout the day based on overall usage.
    • Standard Seat = 2.5 times higher usage vs consumer pro seat
    • Premium Seat = 5 times higher usage vs standard seat

Which payment details are required for the Premium tier?

  • License Costs: Fees are not pro-rated by OIT. Any request made during the year carries the full annual license rate.
  • Cost Center: Supply both the cost center that will pay and a backup. Processing may be delayed if the entries are invalid. The primary cost center must sit at the unit level (VP, Dean, or College, for example) and may not be grant funded. Coordinating reimbursement with individual faculty or staff is up to the unit; OIT does not bill individual cost centers directly.

Will I get a refund on my personal subscription when I move to the university offering?

  • According to Anthropic, certain paid subscriptions (Premium and Max) will receive a prorated refund once migration starts, and any usage credits left on the account will be refunded as well.
  • Migration instructions are covered earlier on this page, under “How do I migrate my personal Claude account to a non-UT Dallas.edu email address?”
  • Refunds must be arranged directly with Anthropic support, and Team accounts may not be eligible for one.

Can a Standard seat be upgraded to Premium later?

Yes, but not through a prorated upgrade. Because seats are purchased separately, a department would effectively purchase an additional Premium license. The original Standard license cost is not credited toward the Premium purchase.

Is there a limit to how many Claude licenses a department can purchase?

No. Departments may purchase as many licenses as needed, subject to budget approval and departmental funding.

Can multiple cost centers be used?

Yes. However, requests should be grouped by cost center. If multiple cost centers are involved, separate request submissions may be required for each cost center grouping.

Can additional Claude licenses be purchased later in the year?

Yes. Departments can purchase additional licenses during the year. Seats are not limited to the initial ordering period, but all seats remain annual purchases and are not prorated.

Can I or my team subscribe for Claude Scientist plan ?

The Claude Team plan for Scientists is for small research groups as part of institutions that do not have an enterprise agreement in place. UT Dallas has an Enterprise Agreement with Anthropic to offer Claude for Education at $216 per year for Standard Seat and $600 per year for Premium seat. Hence, Claude Team plan for Scientists is not available for UT Dallas.

Troubleshooting

When signing into Claude, you receive an error message stating: "Please confirm your email. You entered ZZZZZ@utdallas.edu, but you are currently logged in as YYYYY@utdallas.edu.

  • At the login page, Claude checks the address you typed against the email attribute your IdP returns in the SAML response. Where email aliases are involved, Claude falls back to the default reply-to address.
  • If you signed up for Claude previously using a UT Dallas address, the system may log you in under that address instead. Any time either address differs from your UPN, this message appears simply to tell you that the default reply-to address will be used for authentication.
  • Functionality should not be affected — press continue, and you should land in the UT Dallas University tenant.

When trying to set up a connector to Microsoft 365, you receive an error message stating, "Your administrator has configured the application to block users unless they are specifically granted access to the application.

  • The problem is not on Claude’s end; it originates from the application you are trying to connect to.
  • Reach out to the team that administers that application and ask them to add you to the group permitted to access it.

In the Claude Desktop app, the Cowork or Code tabs are greyed out. How can I resolve this?

  • This is a recognized bug in the Anthropic app, and the Anthropic team is working on a fix.
  • You may see an error stating that a required feature of Microsoft's Virtual Machine Platform is unavailable. A few troubleshooting steps are worth trying on your own; work through them one at a time:  
  1. Force quit the app, then reopen it. 
  2. Sign out, then sign back in. 
  3. Remove the application entirely and restart your machine. 
  4. Attempt to enable the Microsoft Virtual Machine Platform feature named in the error.
  5. Download the app once more and reinstall it. 

In Claude for Mac, the Tool options window is missing. How can I resolve this?

  • This is a recognized bug in the Anthropic app, and the Anthropic team is working on a fix.
  • In the meantime, there are a few things you can try on your own. MacOS-level permissions may be preventing the app from loading every UI component correctly.
  • The steps below are at your own risk.
    • Remove the application entirely and restart your machine. 
    • Download the app once more and reinstall it. 
    • Once the clean install is finished, open Terminal and run: "sudo xattr -rd com.apple.quarantine /Applications/Claude.app" 

Requesting & Provisioning Access

How should Fiscal Officers determine which Claude license type users need?

OIT recommends collecting interest and use-case information through the provided AI Interest Form - Click to Duplicate. Standard Seats are intended for faculty, advisors, administrative users, and general productivity use cases. Premium Seats are intended for data analysts, developers, researchers, and heavy AI users with longer or larger workloads.

How should departments collect Claude license requests?

Departments may use the Microsoft AI Interest Form template provided by OIT - Click to Duplicate, email-based collection processes, or other local collection methods. OIT recommends the  OIT AI Bulk User Request Template because it gathers required information consistently.

Why is OIT requesting only two consolidated submissions per unit?

OIT is asking units to consolidate requests into one Claude for Education - Standard Seat request and one Claude for Education - Premium Seat request. This reduces administrative overhead and helps avoid processing thousands of individual requests.

How long will Claude provisioning take?

OIT requested that departments allow up to 10 business days for provisioning after complete information and cost center approval are received.

When is the planned rollout timeline?

Claude contract finalized in late July 2026, pilot seat activation target of August 17, 2026, full campus rollout target of August 31, 2026, and knowledge base articles and FAQs target completion of August 14, 2026.

Compliance & Data Governance

Is Claude usage subject to records retention requirements?

Yes. OIT indicated that Claude usage is subject to the university’s standard retention policies.

Can Claude conversations be subject to Open Records requests?

Potentially, yes. OIT noted that AI tools, like other digital systems used by public institutions, may be subject to public records requirements.

Planning, Training & AI Tool Comparisons

How much does a PHI-capable Claude environment cost?

OIT states that a separate healthcare-focused environment would be required and would be consumption-based rather than standard license-based. Departments needing PHI support should contact OIT for consultation via General Help/ Request.

Will UTD provide comparisons between Claude and other AI tools?

Yes. OIT stated that an AI Tools Matrix is available and will continue to be updated as new enterprise AI services are released. The matrix is intended to help departments compare capabilities across tools.

What AI tools are centrally funded today?

At the time of the meeting, OIT indicated that centrally funded AI services include Microsoft Copilot Chat and CometAI. Other enterprise AI tools are expected to be funded by departments.

What training resources are available?

Available resources include Anthropic Skilljar self-paced training, Claude platform documentation, OIT knowledge base articles, future campus training sessions, and recorded briefing sessions and presentation materials. OIT plans to expand training after users have access to the platform.
