Add Shared Mailbox to Thunderbird

Procedure

  • Open Thunderbird.
  • Click the Menu icon > Account Settings.
    • A new tab will open.

  • Towards the bottom left, select Account Actions > Add Mail Account....

  • If you are prompted to use the Account Hub when adding a Shared Mailbox it will need to be disabled before continuing.
    • Close the Account Hub window
    • Click the  Menu icon >  Settings
    • In the General section, locate the Account Hub and uncheck Create accounts in the new Account Hub.

  • Enter the following in the “Set Up Your Existing Email Address” window:
    • Your Full Name: Use the exact name of the shared mailbox
      • Name will be displayed in your Thunderbird folders.
    • Email Address: Email Address of the Shared Mailbox
      • Complete email address with NetID@utdallas.edu
    • Password: Leave blank
    • Remember Password: Uncheck
Note: Leave the Password and Remember Password fields blank.
  • Click Configure Manually.

  • In the "Manual configuration" enter the following information into the available fields as shown below:
    • INCOMING SERVER
      • Protocol: IMAP 
      • Hostname: outlook.office365.com
      • Port: 993
      • Connection security: SSL/TLS 
      • Authentication: OAuth2 
      • Username: Shared Email Address
    • OUTGOING SERVER
      • Server: smtp.office365.com
      • Port: 587
      • SSL: STARTTLS
      • Authentication: OAuth2 
      • Username: Shared Email Address

  • Click Re-test.  When the green message “The following settings were found by probing the given server:” appears at the top of the window the server settings are confirmed.

  • Select Done.  Then you will be prompted to sign in with the Shared Mailbox using either Microsoft's or UTD's SSO.
Note: It is very important to click sign-in with another account or mailbox will not load.
  • If prompted with Microsoft's SSO, click Sign-in with another account located below the password text box.
    • Log in with your NetID@utdallas.edu and password.
    • Authenticate with Duo.
    • Select Shared Mailbox’s Inbox and Thunderbird will start to load emails.

  • If prompted by UTD SSO, enter an invalid Password and click Sign in.  The window will refresh and you will receive a new login prompt that lets you Sign-in with another account.
    • Log in with your NetID@utdallas.edu and password.
    • Authenticate with Duo.
    • Select Shared Mailbox’s Inbox and Thunderbird will start to load emails.
