Sharing & Co-authoring Documents, Spreadsheets, and PowerPoints on New Teams

Purpose 

With Office 365, you can share files so that anyone with access to the file can simultaneously edit. With Teams, you can share & edit files in real time. This article provides instructions on how to share and co-author your documents.

Explanation 

  • Select the Attachment icon from your current chat and choose a file to share.
    • A preview of recently opened documents will show as options.
    • You can upload files from Box, OneDrive, your local device, or recent chats.

  • Some documents you upload will be protected and will require you to allow access to anyone you share with.
    • To change the permission settings on your file, select the Drop-down menu under the title of your file.

  • Choose which people or group of people you would like to grant access to.
  • Select the access you want to grant – Viewing/Editing/Reviewing; click Apply.

  • After granting permissions, Send the file as a message and the recipient will be able to open the document within the Teams app.

  • From within the shared document you will be able to see who is actively reviewing the document (view the user icon in the top right.)
