Best Practices for Microsoft Bookings

Purpose

This article will provide some valuable best practice suggestions to ensure zero loss of data or information from the date of joining till the last date of employment. Therefore, please follow the below instructions for a few applications imperative to our team’s performance.

Note: The processes mentioned are for a Windows Computer / PC. For additional information, read KA 625.

Bookings

Microsoft Bookings enables clarity for both the staff and users to book a meeting, reschedule an appointment, and receive email reminders on an easy-to-use website.

Note: Microsoft Bookings are available for only UTD Faculty and Staff.

Share Administrative Access

  • Log in to Bookings using your UTD credentials.
  • Select a Booking calendar you would like to share with your designated team members.
  • Visit the Staff tab in the left navigation of Bookings. Click the ellipsis menu for more options.

 

  • A dialogue box will appear with the option to "Add Staff." Click and enter the name of the person you want to share access with.
  • Set the permission level for the user to Administrator. Bookings shares more information on what each option allows the user to do, as shown below.

  • Check mark the ‘Notify staff member via email…,’ and the ‘Events on the office calendar will affect availability.’ as shown below. Click on Save Changes.

  • It will send the user an email asking them to confirm if they want to be part of the Bookings calendar. Select the Accept button and approve to confirm.

  • Once approved, you can assign as many staff to a Bookings service as possible. Find the Service you want to edit and check each staff member you wish to add.
