Create and Manage Breakout Rooms Before a Meeting

Purpose

This article walks users through the steps needed to create and manage break-out rooms before the start of a meeting.

Procedure

Create Breakout Room

  1. Go to the Calendar tab in MS Teams.

  1. Open the meeting to which you would like to add the co-organizer for breakout rooms by either double-clicking on the Meeting or by clicking on the Edit button as shown below.

  1. Select the Breakout rooms option at the top panel of the meeting.

  1. You can now select the Create rooms button.

  1. Using the dropdown menu, you will now be able to select the number of breakout rooms as per your requirement. After the selection, click on the Add rooms button.

  1. The breakout rooms created can now be viewed.

Adding Breakout Room Co-organizers

  1. Click on the Breakout rooms option at the top panel of the meeting.

  1. Click on the three dots present over the Breakout room to which you would like to assign the co-organizers.

  1. Click on the Room options button.

  1. You will now be redirected to your default browser to access the “Room options”.
  2. In the “Choose co-organizers” section, you can now assign the co-organizers for the break-out room as per your requirement.

Note: The user who is being added as the co-organizer in a breakout room must be added as the co-organizer for the respective meeting.

Assigning Breakout Room Participants 

  1. Click on the Breakout rooms option at the top panel of the meeting.

  1. Select the Assign Participants button at the top.

  1. Choose whether you would like Teams to assign students to rooms automatically or manually if you would prefer to assign students to rooms yourself.
  • If you have chosen to assign the students automatically, then just click Next.
  • If you have chosen manual selection, choose the participants who will share a breakout room by checking the checkboxes next to their names.

  1. Select the down arrow next to "Assign" and choose a room for them.

  1. Click on the Assign button, and you will now be able to see the participants added to the respective breakout rooms.

Renaming Breakout Rooms

  1. Click on the Breakout rooms option at the top panel of the meeting.

  1. Click on the three dots present over the Breakout room to which you would like to assign the co-organizers.

  1. Select the Rename option.

  1. You can now rename the breakout room as per your requirement. After renaming in the text box highlighted, click on the Rename button.

  1. The breakout rooms will now be renamed as per the changes made.
