Off-boarding Recommendations

Purpose

This article provides valuable best practices to ensure no data or information is lost from the date of joining to the last day of employment.

Follow these options to minimize the impact during employee transitions. The following best practices are recommended to ensure redundancy in access, so that if a team member is on sick leave, vacation, or transitioning to a new role, the remaining team members can still access necessary information. You can also use these processes as a checklist during employee off-boarding to prevent information loss.

Note: A former employee's account is deleted 28 days after their termination from UTD. They must share and transfer any necessary files and documents from their individual account to the team's shared folder to prevent data loss.

Note: The processes outlined apply to Windows computers/PCs. For more information, refer to KA 625.
